Role: ERP Project Administrator
Location: Basingstoke Hub office with hybrid working (3 days in office). The role will include very occasional travel to Germany
The ERP Project Administrator plays a key supporting role in the successful delivery of the ERP (Enterprise Resource Planning) Programme to rollout NetSuite and associated systems to Germany and beyond. Working closely with the ERP Programme Director, project managers, business analysts, and technical teams, the Project Administrator will ensure a smooth coordination of project activities, documentation, reporting, governance, and stakeholder communication. This role is ideal for candidates with strong organisational skills, a background in administration or project analysis, and a desire to grow within ERP and digital or finance transformation initiatives.
Role & Responsibilities
Organise and schedule project meetings, workshops, and stakeholder sessions. Prepare agendas, collate minutes, and ensure timely distribution and follow-up on action items.
Workshop & Training scheduling:
Assist in coordinating workshops, training sessions, testing activities. Includes arrangements for materials required for workshops.
Reporting & Tracking:
Work with the ERP Programme Director to monitor progress against project and programme timelines and milestones. Help compile regular status reports and dashboards, highlighting key updates, risks, and outstanding actions.
Documentation Management:
Maintain accurate and up-to-date project documentation including project plans, RAID logs (Risks, Assumptions, Issues, Dependencies), change requests to project scope, and decision records. Ensure version control and accessibility across the project team.
Stakeholder Contact:
Support as the central point of contact for internal and external queries. Coordinate communications, manage stakeholder lists, and ensure consistent messaging and updates.
Action Tracking:
Ensure actions are accurately captured and tracked to an on-time completion target.
Administration of Travel Arrangements:
Coordinate travel arrangements for the programme team.
Coordination of Change Control Process:
Administer the change control process by logging requests for changes to scope, tracking approvals, and ensuring changes are documented and communicated effectively.
Tool & System Support:
Support the ERP Programme Director with use of project management tools (e.g., MS Project, Smartsheet, excel, Jira) to help update timelines, assign tasks, and track progress. Support data entry and reporting within the ERP system as required.
Governance Support:
Support the ERP Programme Director and Project Managers to ensure adherence to project processes through templates, reporting, Smartsheet plans, quality checks, and updates and control of Teams/SharePoint as the document repository. Assist in preparing materials for steering committees and governance boards. Coordinate with Merlin Central Portfolio Management Office team for milestone reporting and updates.
2-4 years of experience in project support, administration or coordination roles, ideally within Finance, IT, business transformation, or ERP-related projects or programmes
Communication Skills: Strong written and verbal communication skills, with the ability to interact professionally with stakeholders at all levels.
Organisational Skills: Excellent attention to detail, time management, and the ability to manage multiple tasks and priorities effectively.
Governance Awareness: Basic understanding of project or programme governance frameworks, supporting compliance with reporting and escalation methods.
Basic proficiency in project management and office tools (e.g., Teams, SharePoint, Smartsheets, Microsoft Project, Project Online, excel, word or similar).
ERP Exposure: Familiarity with ERP systems such as SAP, Oracle, Microsoft Dynamics, or NetSuite is advantageous. Direct experience supporting ERP implementations or upgrades is a plus.
Relevant qualification in project or programme management (or equivalent experience) is beneficial but not essential.
