We are looking for an Office Administrator & PA to join our Finance Hub on a permanent basis. The role will be based at Basingstoke office, with a fun and diverse team! Here is what you can expect from this varied and exciting role;

Office Administration

  • Be the go-to person for all office maintenance and facility issues, ensuring everything runs smoothly.
  • Oversee office supplies and ensure our workspace is fully stocked and efficient.
  • Welcome visitors, manage security passes, and ensure a professional front for the office.
  • Coordinate new starter onboarding to ensure a seamless introduction for new team members.
  • Help plan meetings and events while ensuring we’re getting the best value for money.

Team Organisation

  • Lead our internal newsletters and communications, keeping everyone informed and engaged.
  • Organise unforgettable social events, from summer picnics to charity activities, boosting team spirit and morale for our 140+ person office.
  • Work closely with the DE&I team to coordinate exciting initiatives and events.
  • Manage procurement tasks, like processing invoices and setting up new suppliers, while liaising with our finance team.
  • Keep our internal SharePoint page up to date and maintain clear, accurate communication for the wider Merlin team.

Personal Assistant Responsibilities

  • Provide comprehensive diary management and administrative support for both the Global Finance Hub Director and Group Finance Director.
  • Arrange travel, meetings, and events, ensuring smooth coordination and communication.
  • Serve as the first point of contact for enquiries, representing our team with professionalism.
  • Ensure sensitive information and documents remain confidential, handling all matters with discretion.

Qualifications & Experience

  • Considerable experience of working within a fast-paced office environment as an Administrator/PA or similar role
  • Experience using office systems such as Coupa and Concur
  • Intermediate Excel and strong Outlook and PowerPoint skills
  • Experience of event coordination is desirable but not essential
  • Strong energy and enthusiasm to help create a culture of fun in the office
  • Appetite to learn and understand administrative requirements within a large operational team
  • Good interpersonal skills
  • Capable of building effective working relationships with the teams and PA’s across the group
  • Negotiation skills required to gain adherence to deadlines
  • Technical capability to learn relevant systems and programs, including key support systems
  • Attention to detail to ensure information presented to senior stakeholders is accurate and reliable to be used to support decisions
  • Time management skills, with methodical and organised approach to tasks
  • Ability to work proactively and independently and in a group setting
  • Ability to communicate at all levels

  • Ability to work 5 days per week in the office to facilitate the day-to-day office running 
  • Public speaking within the Finance Hub
